When you book a ticketed experience. Tickets are sold through Skiddle, our ticketing partner. You buy from them directly and they operate their own privacy policy, which we would encourage you to read. They pass us the information we need to run the event — typically your name, email address, the experience booked and your order reference. We do not receive or store your card details at any point.

When you contact us. If you email us, use the contact form or call the event day line, we keep your message or a note of the call, along with your contact details, so that we can respond and keep a record of what was agreed. Trading enquiries sent to our traders address are handled the same way.

When you attend. We keep records of incidents, first aid given, lost property, lost child reports and any refusal of entry. Our security contractor's operatives wear body-worn cameras — see the separate section below.

Santa's Post Office. Children write letters to Father Christmas and post them on site. These are handled as described under Children's information.

Photography and film. We take photographs and video at our events for promotional and marketing use. You or your child may appear in this footage — see Photography and images of children.

Health information. Sometimes we handle information about health: if you tell us about a food allergy or dietary requirement for a ticketed experience that includes food, tell us about an access requirement, ask to bring food, drink or medication on site for a medical reason, or receive first aid at the event. We treat this with particular care, collect only what we need, and share it only with those who need to know.

Tonbridge Christmas Fest is a family event, so we are careful about children's information and we collect as little of it as we can.

Bookings. Tickets for children's experiences are bought by an adult, and it is the adult's details we receive from Skiddle. We do not ask for a child's date of birth or contact details in order to book.

Santa's Post Office. Children write their own letters to Father Christmas and post them into the North Pole post box. These letters are written by the child and often include a first name and sometimes an address. We do not read them for any purpose other than the activity itself, we do not copy, photograph, publish or share their contents, we do not add anyone to a mailing list from them, and we do not pass them to any third party. Letters are securely destroyed after the event.

Lost children. If a child becomes separated from their adult, we take a description and a contact number so we can reunite them. That record is kept only as long as needed to close the incident, and any safeguarding referral that has to be made will go to the police or to Kent County Council children's social care.

Marketing. We never market to children, and we do not build profiles of children or use their information for advertising.

If you are a parent or guardian and want to know what we hold about your child, or want something removed, email us and we will deal with it.

We photograph and film at our events, and we use those images to promote the Fest — on this website, on social media, in advertising and in press coverage. Our lawful basis is our legitimate interest in promoting our events.

Because this is a family event, we apply some rules to ourselves:

• Our photographers work openly and visibly, and are briefed to ask an accompanying adult before taking a close-up photograph of a child.
• We never publish a child's name alongside their image.
• We do not sell or license images of children to third parties for their own use.

If you would rather images of you or your child were not used, you can tell the photographer at the time, or email info@tonbridgechristmasfest.co.uk. It helps if you can tell us the date, roughly what time, whereabouts on site, and what was being worn. We will remove the images from our library and stop using them. If something has already been published, we will take it down from anything we control.

Photographs taken by other visitors are outside our control. We ask everyone to be considerate and to avoid photographing other people's children.

Where we rely on consent, you can withdraw it at any time. Where we rely on legitimate interests, you have the right to object — see Your rights.

This website does not use advertising pixels, and we do not run analytics that profile you across other sites. There is no database behind the site and it does not store anything you type into it.

Some pages do load content from other companies, and those companies may set cookies or receive your IP address under their own privacy policies rather than ours:

• Google Maps — embedded on the Visit and Contact pages to show the venue location.
• Elfsight — a third-party widget used on the home page to display our recent Instagram posts.
• Google Fonts — the site's typefaces are served by Google on every page.

We do not control what these services do with information collected through their embeds. Please refer to Google's and Elfsight's own privacy notices for detail. If you would rather they did not load, most browsers allow you to block third-party content and cookies through their settings, and many offer tracking protection that does this by default.

The contact form. The form on our Contact page opens your own email app with your message ready to send. Nothing is submitted to this website and we see nothing until you choose to send it, at which point it arrives as an ordinary email.

There is no CCTV at Tonbridge Christmas Fest. The only cameras in use are the body-worn cameras worn by security operatives.

We do not operate those cameras and we do not hold the footage. They are provided by our appointed security contractor, an independent SIA-approved security company. They record, hold and are responsible for any footage under their own privacy policy and retention arrangements.

Body-worn cameras are not recording continuously. Operatives activate them at the point a search, a refusal of entry or a developing incident begins, to keep people safe and to hold a fair and accurate record of what happened. Operatives wear visible markings indicating that a camera is fitted.

We do not have routine access to this footage. We may be shown it by our security contractor where it is relevant to an incident we are dealing with, or where we are asked to assist the police or the local authority.

If you would like a copy of footage of yourself, or have a concern about how it has been handled, contact us at info@tonbridgechristmasfest.co.uk and we will pass your request to our security contractor, who will deal with it directly. Please get in touch as soon as possible, since footage is deleted on a short cycle.

• Skiddle, our ticketing partner, who sells tickets on our behalf
• Our security contractor, who staffs the site and records incidents. Their operatives wear body-worn cameras and they are responsible for any footage in their own right
• Medical and welfare providers at the event, where you need assistance
• The emergency services, and where a safeguarding concern arises, the police or Kent County Council children's social care
• The venue and Tonbridge & Malling Borough Council, where our licence or their conditions require it
• Our IT and email providers, who host our systems on our instructions

We do not sell your personal information to anyone, and we do not share it with third parties for their own marketing.

Under UK data protection law you have the right to:

• Ask for a copy of the personal information we hold about you
• Ask us to correct anything that is inaccurate or incomplete
• Ask us to delete information where we no longer have a good reason to keep it
• Ask us to restrict how we use your information while a concern is looked into
• Object to our use of your information where we rely on legitimate interests, including for marketing and for photography
• Ask us to transfer certain information to you or another provider
• Withdraw your consent at any time, where we relied on consent

To exercise any of these rights, email info@tonbridgechristmasfest.co.uk. We will respond within one month. There is no charge, and we may ask you to confirm your identity before we release information. A parent or guardian can make a request on behalf of their child.

If you are unhappy with how we have handled your information, please tell us first so we have the chance to put it right. You also have the right to complain to the Information Commissioner's Office, which regulates data protection in the UK.
